Data Deletion
01 What Data Kylix Stores
When you connect your Instagram or Facebook account to Kylix Agent ("Service"), operated by Aivo Solutions LLC, we store the following data associated with your account:
- Instagram Account IDs and Facebook Page IDs — identifiers for the accounts connected to the Service.
- OAuth Access Tokens — authentication tokens issued by Meta that allow the Service to send and receive messages on your behalf. Tokens are encrypted at rest.
- Message Logs — the content and metadata of Instagram Direct Messages and Facebook Messenger conversations processed through your AI agent, including timestamps and sender/recipient IDs.
- Webhook Event Data — event notifications received from Meta's Messaging API, including message delivery receipts and read receipts.
- Account Information — your email address, subscription details, and billing information provided at registration.
- Brand Configuration Data — documents, product descriptions, and other materials you uploaded to configure your AI agent.
Message logs and webhook events are automatically deleted after 90 days as part of our standard retention policy. All other data is deleted upon account closure or upon receipt of a valid deletion request.
02 How to Request Data Deletion
To request deletion of your data, send an email to kylixagent@gmail.com with the subject line "Data Deletion Request".
- Send your request email to kylixagent@gmail.com with the subject "Data Deletion Request".
- Include in the body: your full name, the email address registered to your account, and the Instagram username(s) or Facebook Page name(s) associated with your account.
- Specify scope: indicate whether you are requesting deletion of specific data (e.g., message logs only) or a full deletion of all data associated with your account.
- Await confirmation: you will receive a confirmation email within 3 business days acknowledging your request and providing a reference number.
- Deletion completed: all specified data will be permanently deleted within 30 days of your confirmed request. You will receive a final confirmation email upon completion.
03 Facebook-Initiated Deletion
If you connected your Facebook Page or Instagram Business account to Kylix Agent via Facebook Login, you can also initiate data deletion directly through your Facebook account settings. This method complies with Meta's Data Deletion Callback requirements.
- Go to your Facebook Account Settings (facebook.com/settings).
- Navigate to Security and Login → Apps and Websites (or Settings & Privacy → Settings → Apps and Websites).
- Find "Kylix Agent" in the list of connected apps and websites.
- Click "Remove" to revoke the app's access to your account.
- When prompted, select "Delete all your Facebook information with this app" if the option is available, or confirm the removal.
When you revoke access via Facebook, Meta sends an automatic Data Deletion Callback to our system. Upon receiving this callback, we will initiate deletion of all data associated with your connected account. Deletion will be completed within 30 days of the callback.
You do not need to send a separate email after completing the Facebook-initiated deletion process. However, if you want confirmation that deletion has been completed, you may contact us at kylixagent@gmail.com.
04 Confirmation and Timeline
After receiving your deletion request — whether by email or through Facebook — we follow this process:
- Within 3 business days: We will send you a written confirmation acknowledging your request and providing a unique deletion reference number.
- Within 30 days: All personal data, message logs, access tokens, and associated account data will be permanently and irreversibly deleted from our systems and backups.
- Final confirmation: Once deletion is complete, we will send you a final confirmation email stating that your data has been deleted and including your deletion reference number for your records.
If you do not receive a confirmation within 3 business days of submitting your request, please follow up at kylixagent@gmail.com.
05 Data That Cannot Be Deleted
In certain limited circumstances, we may be required to retain some data even after a deletion request:
- Legally required records: Data that we are required to retain to comply with applicable law, regulation, tax obligations, or in connection with pending legal proceedings.
- Fraud prevention: Records that are necessary to investigate, prevent, or detect fraud or security incidents.
- Dispute resolution: Data necessary to enforce our agreements or resolve active billing disputes.
- Anonymized aggregate data: Statistical or analytical data that has been fully anonymized and de-identified so that it cannot be linked back to any individual user. This data cannot identify you and is not considered personal data.
In any case where we retain data for these reasons, we will inform you of the reason and the expected retention period in our confirmation email.
